As has been explained in school, or in any writing guide references, in writing a business letter or formal letter, we should use the standard rules of how to write Business Letter in English. Below are a few tips for you about how to make good and correct business letter:
Plan before You Write
Note well the words that you need to write before you begin.
Note the points that you want to make, and collated systematically
Grammar
The grammar should be right and the way you write the letter should be impressed friendly and polite.
Name
Make sure you check the sex of the recipient and the correct spelling of a person's name and title.
Use “Ms.” for women and “Mr.” for men. You can use “Mrs.” for women if you are 100% sure that she is a married woman.
Date
To avoid confusion, you should write the month rather than using numbers. (For example: January 15th, 2010, or 15 January 2010)
Compact And Clear
The easier it is to understand the contents of the letter. It is the better if your letter can make the receiver easy to understand the intents and purposes of your business / formal letter.
Keep sentences and paragraphs short and simple.
Use words that do not have a double meaning to avoid misunderstanding.
Ask questions directly.
Rewrite each sentence that is not apparent.
If the recipient is not native speaker, it is better to use easy words or general terms that not complicated at all.
Remember this words order principle:
Who - Does - What - How - Where - When
(Subject - Verb - Object - Manner - Place - Time)
